Privacy Policy
Draft prepared October 2026. Effective date: to be confirmed on publication.
About this policy
This policy explains how personal information is handled on the CommunityOS marketing website (“the website”). It applies only to this website. The CommunityOS application, which authorized users sign in to, is a separate service; how it handles information is governed by the agreements and policies that apply to that service and to the organization that provides your account.
Information we collect
Information you choose to send us. If you use the enquiry form, we receive your name, email address, organization or community name (optional), the reason for your enquiry, and your message. If you contact us by email or phone, we receive the details you provide.
Technical information. Like most websites, the server that hosts this website may record standard request information such as IP address, browser type, the page requested and the time of the request, for security and troubleshooting.
Anti-abuse checks. To protect the enquiry form from spam, the website keeps a short-lived counter linked to a one-way, keyed hash of your IP address (not the address itself). These counters expire after about one hour.
How we use information
- To respond to your enquiry, arrange a demonstration, or follow up on your request.
- To keep the website secure and working properly.
We do not sell personal information and do not use enquiry details for unrelated marketing without your consent.
How enquiries are delivered
Enquiries submitted through the form are sent by email to the CommunityOS team through our email service provider. The website itself does not keep a database of enquiries. [To confirm before publication: name of the email provider and where it stores data.]
Cookies and analytics
The website does not set cookies. [If analytics are enabled before publication, describe them here. The website is prepared for cookieless analytics (Plausible), which does not use cookies or collect personal identifiers.]
Third-party content
To display the website, your browser loads some content from third-party services, which receive your IP address and standard browser information as part of that request:
- Google Fonts (typefaces)
- Unsplash (photography) and Pexels (video)
Links to the CommunityOS application take you to a separate service.
Retention
We keep enquiry emails only as long as needed to respond and for reasonable business records, then delete them. [To confirm: retention period.]
Your choices and rights
You may ask to access or correct the personal information we hold about you, or ask us to delete it, subject to applicable law. In Canada, the Personal Information Protection and Electronic Documents Act (PIPEDA) applies to personal information collected in the course of commercial activities. To make a request, contact us using the details below.
Security
The website is served over HTTPS, applies security headers, validates all form input on the server, and does not have access to data held in the CommunityOS application.
